These are the booking terms and conditions of I. E. Athletic Tourism (CYPRUS) LTD, Company number HE371637, a registered company in Cyprus. Once you have submitted your signed booking form, submitted an online booking or paid the deposit payment for any of our packages, events or camps you are agreeing to the terms and conditions of our booking policy and entering into a contract with I. E. Athletic Tourism (CYPRUS) LTD.

BOOKING PROCESS

Pre-booking is necessary to reserve places on any Cyprus Swim Series package or training camp. On making a booking you must complete either our booking form or online booking process, accepting on behalf of all your party the terms of these booking conditions and pay the deposits as outlined on our website and below. You, the lead booker who signs the booking form is also responsible for passing on all information to the other members of your group. If you do not agree with any part of the above, please desist from using the website with immediate effect.

DEPOSIT

To secure your booking you agree to pay a non-refundable deposit of 30% of the total package price for any camps. At the time of booking, you will have the option to either pay the 30% deposit or the full balance using our secure online payment facility. If you book a package with I. E. Athletic Tourism (CYPRUS) LTD within less than 6 weeks to go before you travel, full payment will be due at the time of booking.

FINAL BALANCE

The balance of your camp or package will be due in full for payment 6 weeks prior to your departure at the start of your trip. If the balance is not paid by the agreed time I. E. Athletic Tourism (CYPRUS) LTD reserve the right to cancel your package, retaining your deposit and to apply the relevant cancellation charges as detailed in these booking terms and conditions below.

BOOKING AMENDMENTS 

If, after our confirmation has been issued to you, you would like to in any way alter your booking, we will make our best endeavours to accommodate the changes, provided that notification is received in writing more than eight weeks prior to departure. There will be a booking amendment fee of 20.00€ per person for each person named on the booking form to cover the administrative costs incurred. Any booking alteration by you within 6 weeks of departure and any such request for an alteration will be treated as a cancellation of the original booking and will be subject to the cancellation charges set out below.

CANCELLATIONS

You may cancel your package with us at any time providing that the cancellation is made in writing to I. E. Athletic Tourism (CYPRUS) LTD by the person who signed the booking form. We will retain your deposit and, in addition, may apply cancellation charges which are shown below. If the number of people on the booking changes the package costs will need to be recalculated and you agree to pay any difference in the price.

CANCELLATION FEES

Should you cancel your training camp with I. E. Athletic Tourism (CYPRUS) LTD the following cancellation charges will be applied. All dates and time frames mentioned below refer to number of days before you travel to the I. E. Athletic Tourism (CYPRUS) LTD or seminar/event. If you cancel your package with I. E. Athletic Tourism (CYPRUS) LTD:  -More than 84 days prior to your departure you will lose the deposit only  -83-56 days prior to your departure you will lose 60% of the package price  -55-42 days prior to your departure you will lose 70% of the package price  -41-28 days prior to your departure you will lose 90% of the package price  -27-1 days prior to your departure you will lose 100% of the package price Should you cancel your one- or two-day coaching clinic or seminar you will forfeit 100% of the package price as these are non refundable. If the reason for you having to cancel your trip is covered under the terms of your own insurance policy, you may be able to reclaim some of these charges from your insurer.

Force Majeure

We will not pay you compensation if we have to cancel or change your travel arrangements in any way because of war, riot, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions or other unforeseen circumstances that may amount to force majeure. Period before departure within which notice of cancellation of major change is notified to you.

Changes to your booking by I. E. Athletic Tourism (CYPRUS) LTD

In the unlikely event that I. E. Athletic Tourism (CYPRUS) LTD has to make any changes to your package, we reserve the right to do so at any time. Most of these changes are minor and we will advise you at the earliest possible date. As we sometimes need to plan the arrangements several months in advance factors beyond our control can happen such as hotels or sports facilities closing for maintenance. We also reserve the right to cancel your package in the unlikely event that the minimum number of participants required for each package is not attained. I.E. Athletic Tourism (CYPRUS) LTD reserve the right at any time to provide alternative accommodation of a similar standard and/or to make any other alteration to your package that may become necessary due to circumstances out of our control. We will endeavour to inform participants of any such changes as soon as possible. If any additional costs are involved these must be borne by the participants. All the information on our website is accurate to the best of our knowledge.

I.E. Athletic Tourism (CYPRUS) LTD reserves the right in any circumstance to cancel your package if for example a large number of camp participants cancel at late notice, making the package unfeasible. In the unlikely event that we are unable to provide the package booked we will return to you all monies paid to I. E. Athletic Tourism (CYPRUS) LTD, or offer you an alternative package of comparable standard.

Health Insurance

For any I. E. Athletic Tourism (CYPRUS) LTD packages to EU countries it is recommended that you apply for the European Health Insurance Card (EHIC Form) from the following website http://www.ehic.uk.com/ . This entitles you to certain basic health care within the EU (subject to conditions). This replaces the old E111 form. Please note that it is not recommended that this is the only insurance that you take out.

Complaints Procedure

If you experience a problem during your I. E. Athletic Tourism (CYPRUS) LTD package, either with our staff members or third-party suppliers, please tell our representative/hotel reception/our agent, who will try to remedy the situation immediately. If your complaint cannot be resolved locally, you will be asked to file a complaint report, the original of which is for you and a copy will be forwarded to our registered address. Please follow this up within 4 weeks of your return home by writing to I. E. Athletic Tourism (CYPRUS) LTD at our registered address along with your booking number and any other relevant information.

Liability

I.E. Athletic Tourism (CYPRUS) LTD cannot accept liability where our ability to carry out our services are affected by Force Majeure. This means any event which we or the 3rd party supplier of the services could not anticipate or prevent. For example, this includes terrorist activity, war, adverse weather conditions, fire and any similar events outside of our control. I.E. Athletic Tourism (CYPRUS) LTD is not liable for personal injury, death, damage to property or other loss whether arising from accident, cancellations, delay or any other matter beyond our control for any products sold via the I. E. Athletic Tourism (CYPRUS) LTD website including training camps, clinics and online coaching resources, video guides and training plans. 

Participants should have suitable personal insurance in place for these eventualities. I.E. Athletic Tourism (CYPRUS) LTD cannot be held liable for any injury or loss if you arrange your own car hire or any other 3rd party agreement/excursion. It will be your responsibility to make sure you understand the specific booking terms of the hire policy/activity/excursion and have adequate insurance in place.

Health Regulations/Vaccinations

At the time of printing, none of the packages on our website require vaccinations as a mandatory item. Health requirement regulations may change so you must consult your doctor and/or obtain the relevant health leaflets e.g. “Protect your Health Abroad” from the Department of Health. It is accepted that each participant who comes on a I. E. Athletic Tourism (CYPRUS) LTD package, event or who signs up for a training plan or video coaching guide has deemed themselves physically fit and healthy for the nature of the activities. If you are in any doubt please make sure that you have consulted your physician or doctor and should you be re covering from any major illness or surgery you should obtain a certificate stating you are physically fit for this type of trip or activity.

Flights

Please note that flights are NOT included in the I. E. Athletic Tourism (CYPRUS) LTD package price. All of the destinations which we offer I. E. Athletic Tourism (CYPRUS) LTD packages to have several different airlines offering services to including several low-cost carriers. Please note that I. E. Athletic Tourism (CYPRUS) LTD cannot accept liability for missed departures and subsequent costs, loss or damage to your property. It is suggested that you ensure that you are adequately insured for such eventualities.

Airport Transfers

I.E. Athletic Tourism (CYPRUS) LTD will arrange suitable vehicles to transport our customers from the Airport to our hotels and back on the specified arrival and departure dates as detailed on our website. Customers are advised to try and book flights which fall within normal working hours of 8am-8pm.

Passports

The name on your passport must match the name on your booking form. It must be valid for 6 months after your return.

Visas 

It is each customer’s responsibility to check the entry requirements of their chosen destination with the appropriate embassy, to obtain and process the correct forms with the Embassy allowing sufficient time for the application to be processed.

Privacy Policy

If you have selected the twin to share option I. E. Athletic Tourism (CYPRUS) LTD will, endeavour to partner you with another customer of the same sex. In such cases due to data protection and customer confidentiality we are not permitted to give any contact details of the parties requesting sharing arrangements. Neither can we accept liability for any loss or damage to your property.

I.E. Athletic Tourism (CYPRUS) LTD may exercise its discretion in using any camp participant’s name and image for promotional purposes in any media worldwide without notice or payment. By purchasing any product via the I. E. It is also recommended that you take out the relevant home nation’s federation membership e.g., British Triathlon Federation, as this also offers a level of protection & legal cover.
